Reports To: Chief Financial Officer (CFO) & Deputy Managing Director of Accounting Services
Position Summary
The Accounting Associate supports the financial operations of a multi-family office and investment management platform, with primary responsibility for Accounts Receivable (A/R) and Accounts Payable (A/P) processes across multiple entities and client structures. This role works closely with the CFO to ensure accurate financial reporting, timely transaction processing, strong internal controls, and strict confidentiality. The position requires attention to detail, discretion, and the ability to manage multiple priorities in a regulated, fiduciary environment.
Key Responsibilities
- Accounts Payable (A/P)
- Process and review vendor, professional service, and expense invoices across multiple legal entities
- Ensure proper approvals, coding, and allocation to correct entities, accounts, and clients where applicable
- Prepare and process payments (checks, ACH, wires) in accordance with internal controls and authorization policies
- Maintain vendor records, W-9 documentation, and resolve discrepancies or inquiries
- Reconcile A/P subledger to the general ledger and support month-end close
- Accounts Receivable (A/R)
- Generate and distribute invoices for management fees, administrative services, and reimbursable expenses
- Track receivables across clients and related entities
- Apply payments accurately and reconcile A/R balances
- Follow up on outstanding receivables in a professional, client-sensitive manner
- Support cash receipts tracking and daily cash activity reporting
- CFO & Investment Operations Support
- Provide direct support to the CFO on accounting, reporting, and operational matters
- Assist with month-end and year-end close, including reconciliations and supporting schedules
- Assist in preparing financial reports, cash flow summaries, and ad-hoc analyses for management
- Support budgeting, forecasting, and liquidity monitoring
- Assist with audits, regulatory exams, and compliance documentation (e.g., SEC, custody, or client reporting support)
- General Accounting & Administrative Duties
- Maintain accurate and well-organized financial records across multiple entities
- Support accounting for operating entities, investment vehicles, and related-party transactions
- Assist in documenting and improving accounting policies, procedures, and internal controls
- Handle sensitive financial and client information with the highest level of discretion
- Support special projects and cross-functional initiatives as needed
Qualifications
- Required
- Associate’s or Bachelor’s degree in Accounting, Finance, or a related field (or equivalent experience)
- 2–4 years of experience in accounting, bookkeeping, or finance operations
- Hands-on experience managing Accounts Payable and Accounts Receivable
- Strong proficiency in accounting systems and Microsoft Excel
- High level of integrity, discretion, and attention to detail
- Preferred
- Experience in a multi-family office, investment firm, wealth management, or professional services environment
- Familiarity with multi-entity accounting and intercompany transactions
- Experience supporting a CFO, Controller, or senior finance leader
- Exposure to investment management operations or regulatory environments
